Protecting your privacy is important

TQSolutions (Aust) Pty Ltd's collection, usage, disclosure and storage of your personal information is regulated by the Privacy Act 1988 (Cth), the Australian Privacy Principles and related legislation.

What is personal information?

Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether the information or opinion is true or not, and whether the information or opinion is recorded in a material form or not. It includes your name, date of birth / age, gender and contact details as well as health information (which is also sensitive information). In this privacy policy, there is reference to personal information, inclusive of sensitive / health information.

Collection of your personal information

Generally, we are required to collect personal or sensitive information directly from you in the course of offering and administering our products and services and managing the employment and engagement of our staff and contractors. We collect, use, and store your personal information to provide you with our services, which include:

  • Workforce planning (including skill mapping)
  • Personal and emergency contact details
  • Training/Education and career development support
  • Information about terms and conditions of engagement
  • Wage or salary details
  • Leave balances
  • Records of work hours
  • Records of engagement, resignation or termination
  • Information about training, education, performance, and conduct
  • Taxation, banking, or superannuation details
  • Professional, or trade association membership information
  • Labour market research

We may also collect, use, and store your personal information:

  • To respond to your questions or suggestions;
  • To improve the quality of our services; or
  • To improve the quality of your visit to our website.

Protecting and storing your personal information

We understand the importance of keeping personal information secure and safe. Some of the ways we do this is are by:

  • Requiring employees and contractors to enter into confidentiality agreements (included in contracts);
  • Securing hard copy document storage (i.e. storing hard copy documents in locked filing cabinets);
  • Implementing security measures for access to computer systems to protect information from unauthorised access, modification or disclosure and loss, misuse and interference;
  • Requesting data storage devices such as laptops, tablets and smartphones are password protected;
  • Providing discreet environments for confidential discussions;
  • Implementing access controls within shared virtual spaces & systems

Personal information may on occasion be stored in documentary form but will generally be stored electronically on our software or systems.

Disclosing Personal Information

Like most businesses in Australia, we sometimes rely on third party suppliers or contractors to help us conduct our business, for example to provide specialised services such as technology and data support, workforce data management, legal advice, insurance or financial services. We may disclose personal information to these third parties in connection with their provision of goods or services to us.

We may also disclose your personal information to government agencies, private sector organisations or other entities where required or permitted by law, which may include the following circumstances:

  • You have consented to such disclosure.
  • We believe that you would reasonably expect, or have been told, that information of that kind is usually passed to those individuals, bodies or agencies, and it is being disclosed for a purpose related (or directly related, in the case of sensitive information) to the reason we collected the information.
  • We are required or authorised to make such disclosure by law or the requirements of any professional bodies, including where we are required to do so in accordance with child safety obligations.
  • A permitted general situation or permitted health situation (as these terms are defined in the Privacy Act) exists in relation to the disclosure.
  • We believe it is reasonably necessary for enforcement related activities conducted by, or on behalf of, an enforcement body (e.g. police, ASIC, Immigration Department).

The persons to whom we disclose personal information are normally located in Australia, although personal information related to our staff and for our marketing activities may be disclosed to recipients outside Australia, including to recipients located in countries where TQSolutions has a presence.

Access to Information

Whenever we collect your personal information, we take steps to help ensure that it is accurate, complete, and up-to-date. If your personal information changes, or if you no longer desire our service, you may correct, update, amend, delete/remove, ask to have it removed from a public forum, or testimonial on our sites by making the change on our client portal page or by contacting us via one of the methods listed in the contact section below.

Client communications

We communicate with clients and other service users who use our services on a regular basis via email, and we may also communicate by phone or SMS. We may use your email address and phone number to confirm your information, support project onboarding, send notices and other disclosures as reasonably requested or required by law. Generally, the TQ workforce cannot opt out of these communications, which are not marketing related but merely required for the relevant business relationship.

Links to third party websites

TQSolutions internal and external websites may contain links to third parties’ websites, including sites maintained by other TQSolutions member organisations. Those other websites are not subject to our privacy policy and procedures. You will need to review those websites to view a copy of their privacy policy. TQSolutions also does not endorse, approve or recommend the services or products provided on third party websites.

Social media widgets and applications

TQSolutions website may include functionality to enable sharing via third party social media applications, such as the Facebook Like button, TQ’s Workplace site and other social media widgets. Any personal information that you provide via such social media applications may be collected and used by other members of that social media application and such interactions are governed by the privacy policies of TQSolutions that provide the application. We do not have control over, or responsibility for, those companies or their use of your information.

We know your privacy is vital, so these details will only ever be used in accordance with the terms of this Privacy Policy. TQSolutions may also use your personal information for the purpose of marketing its services.

We treat any concerns or complaints that you may have with respect and confidentiality. Changes to our privacy policy

We may update this privacy policy to reflect changes to our information practices. If we make any material changes we will notify you by email (sent to the email address specified in your account) or by means of a notice on our sites prior to the change becoming effective.
